To reduce Keynote file size, shrink what is inside the deck. Photos and video make up most of a large Keynote file, so compress them before you place them or let Keynote’s own File > Reduce File Size do it, then compress the PDF or movie you export. Smol does not open .key files; it works on the media and the exports.
| What you are sending | The limit you hit | The Smol setting |
|---|---|---|
| Photos placed in slides | Deck passes 25 MB (Gmail) or 100 MB (Google Slides after conversion) | Compress, output JPG, quality 75 to 80, maximum dimension at your slide width |
| Video clips in slides | One clip can outweigh every other slide combined | Compress, MP4, H.264, lower the resolution, then check the size |
| A PDF exported from Keynote | 25 MB at Gmail; about 37% more once emailed | PDF preset Small for email, Medium or Large for a projector |
| An exported movie of the deck | Same 25 MB, or an upload site’s cap | Compress video, H.264 or H.265, quality High or Web |
Why is my Keynote file too large, and what does Reduce File Size do?
A Keynote file is large because it embeds every image and movie at the size it arrived. Apple’s File > Reduce File Size scales images down to the resolution the presentation uses and can delete the trimmed parts of movies and audio. It works on the copy you choose.
Apple documents the options on its Reduce File Size page (read 11 October 2026):
- Scale down and convert images. Images are scaled to the resolution used in the presentation.
- Remove trimmed parts of movies and audio. The start and end you trimmed in the Format sidebar are deleted.
- Movie format. Most compatible (H.264) plays on most iOS, iPadOS and Mac devices, but H.264 does not support transparency, so transparent areas become black. High efficiency (HEVC) is smallest but plays only on newer systems.
- Movie Quality. Sets a maximum resolution; smaller movies are not scaled up.
- Reduce This File or Reduce a Copy. Choose the copy unless you are sure; Apple says it is possible to choose a combination of options that makes the file larger.
Use that first; it is free. Reach for Smol when the deck is still too big, when you want to shrink media in a folder before it ever goes into a slide, or when the exported PDF is the problem. Keynote’s command cannot touch a PDF you have already made.
Which Smol settings reduce Keynote file size before you place media?
Set the maximum dimension to your slide width, output to JPG, and quality to 75 to 80. Pixels beyond what the slide can show only add bytes.
| Slide content | Output | Quality or preset | Maximum dimension |
|---|---|---|---|
| Photo full-width on a 1920 px slide | JPG | 75 to 80 | 1920 |
| Photo on a 4K display deck | JPG | 80 | 3840 |
| Screenshot or logo with flat color | Original format or WebP | 75 | Match its size on the slide |
| Photos going into a printed handout | JPG | 85 to 90 | Leave resize raised or off |
JPEG chroma subsampling changes with quality: 4:2:0 up to 75, 4:2:2 at 80 to 85, and 4:4:4 from 90. There is no lossless mode; Smol always re-encodes images. On the benchmark, 24 small (768 × 512) high-quality JPEG photos came out 69.3% smaller at default settings; your slides’ photos will differ, so look at the result. Our image compressor roundup compares the options.
How do I compress video in Keynote?
Compress the clip before you place it, or use Reduce File Size after. Smol’s Compress takes MP4, MOV, WebM or MKV, in H.265 (default) or H.264, with quality High (CRF 24) or Web (CRF 28), a lower resolution, and optional audio removal.
For a deck that will run on someone else’s machine, choose MP4 with H.264: it is the format Apple itself calls most compatible. Drop the resolution to the size the clip appears on the slide, because a 4K clip in a quarter-slide window wastes pixels. Smol has no “make this 15 MB” control for video, so run it, read the output size, and lower the resolution or quality if it is still large.
Screen recordings shrink well; see compressing a Mac screen recording and H.265 versus H.264 for what changes. If you trimmed a clip in Keynote, run Reduce File Size too so the trimmed parts are deleted. If video is your main job, see video production delivery.
What is the workflow to reduce Keynote file size with Smol?
Shrink media first, build the deck, reduce a copy in Keynote, export, then compress the export. Each step cuts a different part of the size.
Collect the images and clips in one folder
Copy them there. Smol writes compressed copies beside the originals and leaves the originals alone by default.
Drag the folder into Smol
Mixed batches are fine: photos and video can go in together, each with its own settings.
Set JPG at 75 to 80 and a maximum dimension that matches the slide
For clips, choose MP4 with H.264 and a lower resolution. Run it and read the per-file sizes.
Build the deck from the compressed copies
Place the
_compressedfiles, not the originals. In Keynote, choose File > Reduce File Size, then Reduce a Copy
Turn on trimmed-media removal if you trimmed clips. Keep your original deck as the master.
Export to PDF or movie, then compress the export
Drop the PDF into Smol with the Small preset for email. Check the output size before you send.
How big is a Keynote export PDF, and how do I shrink it?
Keynote export PDF size follows the Image Quality menu: Apple says the higher the image quality, the larger the file. Lower it in Keynote first, then run the PDF through Smol if it is still too large.
In Keynote, choose File > Export To > PDF and set Image Quality; Apple documents the dialog on its export page (read 11 October 2026). In Smol, the five PDF presets are long-edge pixel caps, not DPI targets: 600, 900, 1200, 1800 and 2400 pixels for Tiny, Small, Medium, Large and Original, with JPEG quality of roughly 25, 45, 60, 75 and 88. On a 16:9 slide, Medium is 1200 × 675 pixels, which is soft on a projector. Original is not lossless; it re-encodes and resamples above 2,400 pixels.
| Use | Preset | Check |
|---|---|---|
| Email to a client | Small | Read the output size against 25 MB, see below |
| Handout read on a laptop | Medium | Zoom into a chart and a small caption |
| Projected from the PDF | Large or Original | Look at slide 1 full screen |
PDFs exported from design tools tend to compress well, but we have not measured Keynote exports, so no percentage is promised; read the result. Smol does not edit, sign, merge or split PDFs, and it does not strip metadata in a preset, so use its strip-metadata operation if the document properties matter. See what the presets do and reducing PDF size on Mac.
How do I share a Keynote presentation without hitting a size limit?
Compare the file to the limit of the route you use, then pick the route or shrink the file. Email encoding adds about 37%, so aim at 18 MB for a 25 MB cap; our email guide measured 36.8%.
| Route | Limit | What happens beyond it | Source |
|---|---|---|---|
| Gmail attachment (personal account) | 25 MB | Gmail adds the file as a Google Drive link instead | Gmail help |
| Mail Drop (Apple Mail) | 5 GB | Uncompressed folders are not allowed; recipients have 30 days to download | Apple |
| Google Slides (after conversion) | 100 MB | The page states up to 100 MB for presentations converted to Google Slides | Google Drive help |
Work and school Gmail accounts follow limits set by an administrator. If the recipient only needs to read, send the exported PDF, not the .key file. If they need to edit, send the reduced copy by Mail Drop or a link. For chat tools, see file limits in Slack and Teams; for decks sent to prospects, sales decks.
What do Keynote users use today, and how does it compare?
| Tool | Wins at | Falls short |
|---|---|---|
| Keynote Reduce File Size (built in) | Free. Scales images, removes trimmed media, re-encodes movies, and works on the deck itself. | Does not touch a PDF you already exported; some option combinations can make the file larger. |
| Export to PDF with lower Image Quality | Free, and quick for read-only copies. | The menu has no size target; check the result. |
| Preview (built in) | Free. Resizes and exports single images; opens PDFs. | Its PDF filter has no size target; see our post on how it behaves. |
| Online compressors | Quick for a one-off from any computer. | Every file is uploaded to a server, which matters for an unreleased deck. |
| Smol | Photos, video and PDFs from one drop, with size and quality settings; runs locally. | Not the fastest, one-time $29, and it never opens a .key file. |
Preview’s PDF behavior is covered in how Preview’s Reduce File Size behaves on PDFs. For the wider field of PDF tools, see the best PDF compressor for Mac. A related case is a deck of consulting findings; see consultants’ reports.
When Smol is the wrong tool
Cases where something else fits better
- You need the .key file itself smaller. Smol cannot open or rewrite a Keynote file. Use File > Reduce File Size on a copy.
- You are not on a Mac. Smol runs on macOS only, so a Windows laptop cannot run it.
- You need a PDF to stay editable or signed. Smol does not edit, sign, merge or split PDFs.
- You need a hard file-size ceiling. Smol sets quality and pixel size, not output bytes; for images, target-size mode is a band, not a cap. You must check every output.
- Your deck is one small file. If Reduce File Size already gets it under the limit, you do not need another tool.
Frequently asked questions
How do I reduce Keynote file size?
Use File > Reduce File Size on a copy: it scales images to the resolution the presentation uses, deletes trimmed parts of movies and audio, and can re-encode movies as H.264 or HEVC. For more, compress photos and video before placing them, with Smol on your Mac, and shrink the PDF you export.
Why is my Keynote file too large to email?
Embedded images and video are usually the cause, since Keynote stores them at the size they arrived. Gmail allows 25 MB on personal accounts and adds a Drive link above that. Email encoding adds about 37%, so aim for roughly 18 MB. Compress the media, reduce a copy, or share the exported PDF instead.
Can Smol compress video in Keynote?
Smol cannot open a .key file, so it cannot compress video inside one. It compresses the clip before you place it: MP4 with H.264 for compatibility, High (CRF 24) or Web (CRF 28) quality, and a lower resolution. Place the compressed copy, then use Keynote’s Reduce File Size on a copy to delete trimmed parts.
How do I shrink a Keynote export PDF?
Lower the Image Quality setting in Keynote’s PDF export, since Apple says higher quality means a larger file. If the PDF is still large, drop it into Smol and choose Small for email or Medium for a laptop. Check the output size yourself; Smol does not guarantee a file lands under a cap.
What is the best way to share a Keynote presentation?
It depends on the recipient. Send an exported PDF for reading, or the reduced .key copy for editing. Under 25 MB it fits a Gmail attachment, Mail Drop handles up to 5 GB with a 30-day download window, and Google Slides takes up to 100 MB after conversion. Pick the route that matches the limit.
Does compressing images change how my slides look?
Yes, slightly; Smol always re-encodes images, and there is no lossless mode. At quality 75 to 80 and a maximum dimension matching your slide width, photos usually look fine on a laptop. Check a full-screen slide on the device you present from, and raise quality or size if a chart looks soft.
