A thesis PDF too large to submit is nearly always a figure problem: full-resolution photos, scans and raster plots. Compress those images before you build the final PDF, and only then shrink the whole file. Here is what to send, the limit you hit, and the Smol setting for each.
| What is making it large | The limit you hit | The Smol setting |
|---|---|---|
| Camera photos and microscope images in chapters | Your graduate school’s upload cap, or a 25 MB email attachment | Compress images, output JPG, quality 75 to 80, maximum dimension about 2000 px (a starting point) |
| Plots saved as large PNGs | The same caps; the PDF carries each PNG at full pixel size | Compress, keep PNG or try JPG for photographic panels, set the maximum dimension to the printed size |
| Scanned archive pages or signed forms | A finished PDF that is one big image per page | PDF preset Medium (Small if the text still reads); check the result |
| The finished 300-page PDF | A repository field or a committee email | Last resort: PDF preset Large or Medium, then re-check fonts, links and figures |
| Supplemental video or audio | MIT says not to embed media in the PDF | Compress video as MP4; ask whether it can go in as a supplemental file |
What is the thesis repository upload limit?
It is set by your graduate school and its repository, so read their formatting guide, not a forum thread. Published thesis rules tend to state format requirements more often than byte caps.
| Source | What it states | What it does not state | Link |
|---|---|---|---|
| MIT Libraries thesis specs | PDF/A-1 (1a or 1b); build it from the original files so fonts and hyperlinks are embedded; no password protection or encryption; do not embed audio, video or scripts in the PDF; some may be submitted as supplemental files | No file size limit, no image resolution | MIT Libraries |
| Gmail | 25 MB per attachment on personal accounts; work and school limits are set by the admin | Nothing about theses | Gmail Help |
Read this as a pattern. Rules cluster around format (embedded fonts, no encryption, a named PDF flavor) and around what must travel as a separate supplemental file. Size caps, where they exist, live in your school’s own guide or on the upload form. Write the number down once, then aim well under it, because Smol sets quality and pixel size rather than output bytes and you should always check the finished file.
What are the ProQuest PDF requirements?
They are set by ProQuest and by your school, and they can change, so this page quotes no ProQuest size figure. Before you build the final PDF, read both your school’s guide and the instructions inside the submission form. Ask your graduate school office what it validates: embedded fonts, no encryption, page order, and any PDF/A requirement.
Why is my LaTeX PDF so large, and how do I fix images that are too big?
LaTeX embeds each image at its stored pixel size, however small you print it. A 4032 × 3024 phone photo included at 8 cm wide still carries about 12 million pixels into the PDF. The fix for LaTeX PDF images too large is to shrink the files in your figures folder.
- Photos: run them through Smol with output JPG, quality 75 to 80, and a maximum dimension of about 2000 pixels. For a figure printed 15 cm wide, 2000 pixels is roughly 340 pixels per inch.
- Plots and diagrams: export vector PDF from your plotting tool wherever you can, since lines and labels stay sharp at any size and add few bytes. Raster plots are the ones to compress.
- Screenshots and scans: compress to the printed size, not the captured size.
- Keep a copy of the full-resolution originals in another folder. Smol writes a
_compressedcopy by default, so point\includegraphicsat the copies.
\includegraphics comes from the graphicx package (version 1.2e on CTAN, dated 2026-05-17), which scales how an image is displayed. Scaling does not reduce the bytes stored in the file, which is why width options alone leave the PDF just as heavy. The same logic applies to Word, Pages and Overleaf: shrink the file, not just its frame.
Smol’s image defaults fit pictures inside 2000 × 2000 pixels and strip metadata, including GPS from phone photos, which is useful for a document that will be public. On 24 small film photographs the default JPEG pass made files 69.3% smaller; those test images are 768 × 512, so your camera files will differ. Method on the benchmark page.
How do I reduce dissertation PDF size, and which Smol settings?
Reduce dissertation PDF size in two passes: images before the build, PDF preset after it only if you still need more. Both columns below are starting points, not measured thresholds.
| Content | Operation | Setting (starting point) | Check |
|---|---|---|---|
| Photographs | Compress images, output JPG | Quality 75 to 80, maximum dimension 2000 px | Zoom to 100% on one detail |
| Fine-line figures as PNG | Compress images, keep PNG | Maximum dimension at printed size, quality left at default | Thin lines and labels still crisp |
| Scanned pages | Compress PDF | Medium, then Small if text stays legible | Select a word; read a footnote |
| Born-digital finished PDF | Compress PDF | Large first, then Medium | Fonts, links, figure sharpness |
| Supplemental video | Compress video | MP4, H.265 or H.264, quality "High" | Plays where the committee will play it |
Know what a preset is. PDF presets are long-edge pixel caps of 600, 900, 1200, 1800 and 2400 px for Tiny, Small, Medium, Large and Original, with JPEG quality of roughly 25, 45, 60, 75 and 88. They are not DPI targets, so effective resolution depends on page size, and Original is not lossless. The whole picture is in what the PDF presets actually do.
For scans, one test is worth knowing. On a 3-page, 300 PPI colour scan, word recovery by an OCR engine was 100% at Medium (109 PPI) and 96.8% at Small (82 PPI), but 1.42% at Tiny (55 PPI), per our scanned PDF guide. Avoid Tiny on anything you need to read. That same guide took a scan from 5,017,560 to 288,609 bytes (94.2%) using a separate OCR tool and then Smol’s Medium preset. Smol itself does no OCR.
Thesis PDF too large: how do I get under the limit, step by step?
Work from the figures folder, not from the finished PDF. This order keeps your text, fonts and links intact.
Find the heavy files
Sort your figures folder by size. A few photos or scans are usually most of the weight.
Drag the folder into Smol
Choose output JPG for photos, quality 75 to 80, and a maximum dimension that matches the printed size. Whole folders and mixed types are fine.
Point your document at the compressed copies
Originals stay untouched by default and the copies carry a
_compressedsuffix. Update the paths or rename them, then rebuild the PDF.Check the size and one hard figure
If the file is still over your cap, repeat with a lower quality or smaller maximum dimension. Do not assume a target will be met; read the size.
Only then use a PDF preset
For a scanned thesis or a PDF you cannot rebuild, drop it into Smol with Medium or Small, then check the result.
Run your school’s checks
Confirm fonts, bookmarks, links, page order and any PDF/A validation on the final file, and email size with encoding in mind: base64 adds about 37%, per our email guide.
What are the other ways to shrink a thesis PDF?
Start with what you already have. The best option depends on whether you can still rebuild the document.
| Option | Cost | Strength | Watch out for |
|---|---|---|---|
| Export settings in your editor (Word, LaTeX engine, InDesign) | Free | Cleanest; stays in your validated pipeline | You must find the right switch and rebuild |
| Preview, Reduce File Size | Free, built in | Zero setup | Can make text PDFs larger; see our note on it |
| Free online PDF compressors | Free tiers | No install | Your unpublished thesis leaves your Mac; caps vary |
| Acrobat | Subscription | Fine control, accessibility tools | Cost and complexity |
| Smol | $29 once | Images, scans and PDFs in one drop, local | Does not edit, merge, split, OCR or validate PDF/A |
The Preview trap is covered in why Preview’s Reduce File Size ruins PDFs, and a wider comparison sits in the best PDF compressor for Mac. If you are submitting an article instead, see journal submissions; for coursework, assignment uploads.
When is Smol the wrong tool for a thesis?
Smol is right for the weight, wrong for several thesis chores.
- You need a validated PDF/A. Smol does not validate or promise PDF/A; build and check that in your editor and your school’s tool.
- You need to merge chapters, split a file or reorder pages. Smol does not edit PDFs; assemble first.
- You need searchable text from scans. Smol does no OCR; use a separate OCR tool, then compress.
- You need lossless figures. Smol always re-encodes images, so for pixel-identical files use a lossless optimizer such as ImageOptim.
- You are on Windows or Linux. Smol is for macOS only.
Also, a PDF made by some generators compresses by almost nothing, so if a preset barely moves the size, go back to the figures.
Is it safe to compress an unpublished thesis?
Smol runs on your Mac, uploads nothing and has no account, which suits a document you have not published. See the PDF metadata guide for what properties a PDF carries, and why stripping them is reversible unless the file is rewritten. If a figure came from a clinical or restricted dataset, follow your data agreement. See also the LMS uploads page and PDF too big to upload.
Frequently asked questions
Why is my thesis PDF too large?
Almost always images. A phone photo or a scan carries millions of pixels into the PDF at its stored size, however small you print it. Text, even for 300 pages, is small by comparison. Find the largest figures, compress those, and rebuild the PDF before reaching for a whole-file preset.
How do I reduce dissertation PDF size without losing quality?
Compress the figures to their printed size before the final build, using JPG at quality 75 to 80 for photos as a starting point. Keep vector plots as vector. If you must shrink the finished file, use Medium or Large rather than Tiny, then check fonts, links and one detailed figure at full zoom.
What are the ProQuest PDF requirements?
They are set by ProQuest and your school, and can change, so no size figure is quoted here. Read your school’s formatting guide and the instructions in the ETD Administrator form, and ask the graduate office what it checks, such as embedded fonts, encryption and any PDF/A requirement.
What is the thesis repository upload limit?
Check your own school’s guide, because limits differ. MIT’s thesis specs state format rules (PDF/A-1, no encryption, no embedded media) but give no size cap. Gmail allows 25 MB on personal accounts, and email encoding adds about 37%, so aim well under.
Why are my LaTeX PDF images too large?
LaTeX stores each image at its full pixel size, and options like width only change how it is drawn. A 4032 by 3024 photo included small still adds about 12 million pixels. Shrink the image files first, then include the compressed copies and rebuild.
Will compressing my thesis break PDF/A?
Possibly. Smol re-encodes images in a PDF and we make no claim that the result stays PDF/A. When your school requires PDF/A, compress figures before the final build, export the PDF/A from your editor, and validate that file. Do not compress the validated PDF afterward.
