To compress resume PDF files, drop it into a PDF compressor, choose a preset that shrinks the images inside it, and check that the result is under the portal’s limit. LinkedIn recommends under 2 MB; Greenhouse cannot parse a resume above 2.5 MB. Here is which preset fits which file.

What is the resume file size limit?

There is no single resume file size limit; each system sets its own, and the two below are small. LinkedIn recommends a resume under 2 MB, and Greenhouse reports it cannot parse a resume larger than 2.5 MB.

Other employers’ portals publish their own numbers, or none. If the application page states a limit, use it. If it does not, aim at 2 MB or less, which satisfies both rows above.

Why is my resume PDF too large to upload?

A resume is usually too large because of images, not text. A photo, a logo, a graphic header or a scan adds megabytes; a page of plain text adds a few kilobytes.

  • Design-tool exports. A resume built in a layout app can embed photos at camera resolution. Our test of a 34.8 MB twelve-page design export came down to 386 KB at Smol’s Medium preset.
  • Scans and phone photos. A 5.02 MB three-page 300 PPI scan measured 267 KB at Medium in the same test, as covered in our scanned-PDF guide.
  • Plain text PDFs. These are rarely large. Some generators produce files that barely compress at all, so if your text-only file is over a limit, check how it was made before blaming the size.

How do I reduce a PDF under 2 MB?

Start with Smol’s Medium PDF preset, read the output size, and step down to Small if it is still over. Smol sets image resolution, not the final byte count, so the size is something you check, not something you type in.

Smol PDF presets: long-edge pixel caps, with the effective resolution on a US Letter page
PresetLong-edge capAbout PPI on Letter (11 in)34.8 MB design exportStarting point for
Tiny600 px5596 KBLast resort; text may soften
Small900 px82201 KBTight caps and email
Medium1,200 px109386 KBMost resumes and scans
Large1,800 px1641.15 MBPortfolios, sharper images
Original2,400 px2183.91 MBNot lossless; may still be too big

The PPI column is our arithmetic (pixel cap divided by 11 inches); the last-but-one column is from the preset explainer and size test on one design-export file. The rule we use: aim for about 70% of the stated limit, so 1.4 MB against a 2 MB cap.

How do I compress a resume PDF on a Mac?

Compress a copy, check the size, then zoom in to read the smallest text. Smol writes the result next to the original with a _compressed suffix and, by default, leaves the original untouched.

  1. Check the size in Finder

Select the file and press Command-I. If it is already under the portal limit, stop.

  2. Drag the PDF into Smol

Choose the Medium PDF preset. For a portfolio of full-bleed pages, start at Large.

  3. Compress and read the output size

If the copy is over your target, rerun the original at the next preset down.

  4. Zoom in to 200% and read the fine print

Check phone numbers, dates and small headings. If they blur, go up one preset.

  5. Optional: strip document properties

PDF presets do not strip metadata. Use the separate strip-metadata operation to clear properties such as author and title, as in our PDF metadata guide. It clears the visible fields but is not a guarantee against recovery.

How big should a portfolio PDF for a job application be?

Keep it under the stated limit, and email-friendly when no limit is given. A personal Gmail account caps attachments at 25 MB, and encoding adds about 37% on the way, so aim for 7 MB or less when you do not know the recipient’s limit.

Portfolios are where compression costs the most, because the pictures are the content. Start at Large, look at your finest image at full screen, and only drop to Medium if you must. If the application accepts a link, hosting the full-quality portfolio and attaching a small PDF avoids the trade entirely. The email numbers behind that rule are in our Gmail attachment guide, and the wider PDF methods are in compress a PDF on Mac.

What else can compress a resume PDF?

Free options come first: Preview, a re-export from your source app, or an online tool. They work for many files; the trade-offs are below.

When is Smol the wrong tool for a resume?

Cases where you should use something else

  • Your PDF is already small. A one-page text resume under 100 KB needs no compressing, and Smol keeps the original if the copy would be larger.
  • You need to edit the resume. Smol does not edit, merge, split, sign or redact PDFs, and it does not run OCR. Change the content in your source app first.
  • You are not on a Mac. Smol runs on macOS only.
  • The portal wants a Word file or a specific format. Follow the employer’s instruction rather than trying to shrink the wrong file type.

If you are applying to schools instead, the limits differ; see college applications, and for forms that name a 1 MB cap see compress PDF to 1 MB.

Frequently asked questions

What is the best way to compress a resume PDF?

Shrink the images inside it rather than the text. On a Mac, drag the PDF into Smol, choose the Medium preset, and read the output size. If it is still over your limit, rerun the original at Small. Zoom in to 200% to confirm small text stays readable before you submit it.

What is the resume file size limit on job sites?

It varies by site. LinkedIn recommends a resume under 2 MB in Word or PDF, and Greenhouse reports it cannot parse resumes larger than 2.5 MB. Some portals publish no number at all. When no limit is stated, aim for 2 MB or less, which fits both of those figures.

How do I reduce a PDF under 2 MB on a Mac?

Use a PDF compressor with a resolution preset. In Smol, start at Medium, check the file size in Finder, and drop to Small if needed. Smol sets resolution, not output bytes, so it cannot guarantee a number; aim for about 1.4 MB when your cap is 2 MB.

Why is my resume PDF too large to upload?

Usually because of embedded images: a photo, a logo, a graphic header or a scan. Plain text adds only kilobytes. Check the file in Finder, and if a design-tool export is large, compress it. One 34.8 MB design export measured 386 KB at Smol’s Medium preset.

Will compressing my resume make the text blurry?

It can, if you go too low. Smol’s presets cap image resolution, and Medium works out to about 109 pixels per inch on a US Letter page. Zoom to 200% after compressing and read your phone number and dates. If anything is soft, rerun the original at the next preset up.

How big should a portfolio PDF for a job application be?

Follow the posted limit. With none stated, keep email attachments well under 25 MB, the personal Gmail cap, and aim for about 7 MB since email encoding adds roughly 37%. Start at Smol’s Large preset for image-heavy pages and compare the result on screen.
