Smol for college applicants

Common App File Size Limit: Get Every Upload Under It

The Common App file size limit is set by each college, and SlideRoom portfolios add their own caps. When a transcript PDF or a portfolio image is too large, Smol shrinks it on your Mac with a PDF preset or an image quality setting. You then check the result against the limit shown on your application.
  • Shrink a scanned transcript PDF with a preset, then read the size
  • Resize portfolio images to the pixel size you choose
  • Compress portfolio video to MP4 before a SlideRoom upload
  • Nothing is uploaded: transcripts and IDs stay on your Mac

The Common App file size limit is not one number. The Common App’s own first-year guide states no upload size and sends you to each college’s page in My Colleges, and a SlideRoom portfolio caps attachments at 10 MB. So the working rule is this: compress first, then check the file against the cap on the screen where you upload it.

What is the Common App file size limit?

No single limit applies. The Common App’s first-year application guide (read 11 October 2026) does not state an upload size or a format list. It says each college’s requirements live in My Colleges, so the box you upload into is the authority.

The Common App’s transfer program materials page (read 11 October 2026) adds two rules worth knowing before you compress anything. A PDF form that a program wants uploaded must be saved and uploaded as an image, and once you submit, you cannot re-upload or edit the documents. That second rule is why you check the file size and read the output before you press submit, not after.

Which limits sit beside the Common App file size limit?

Three layers sit around the Common App file size limit: the college’s upload box, the SlideRoom program if there is one, and any email you send to an admissions office. This table lists the layers with a source for each figure that has one.

Email adds overhead to attachments. In our Gmail 25 MB guide the encoding added about 37%, so a PDF headed for an inbox should be well under the cap.

Transcript PDF too large: how do I compress it?

Drop the PDF into Smol and pick the Medium preset to compress a PDF for a college application. A scan is mostly page images, so it shrinks well, and Medium keeps text readable. Then check the output size against your upload box.

Why Medium and not Tiny? Smol’s PDF presets cap the long edge of each page image at 600 pixels (Tiny), 900 (Small), 1200 (Medium), 1800 (Large) and 2400 (Original), with JPEG quality of roughly 25, 45, 60, 75 and 88. They are pixel caps, not DPI targets, and Original is not lossless. In our scanned PDF test (a three-page, 300 PPI colour scan, with text recovered by a separate OCR tool) Medium recovered 100% of the words, Small 96.8% and Tiny 1.42%. A transcript with small grades is the Tiny failure case.

Some PDFs barely shrink. Files written by certain generators compress by almost nothing, and a PDF exported from a word processor with embedded fonts may only lose a few percent. If the number does not move, the file was already lean, and the fix is elsewhere, such as scanning at lower resolution. Our PDF too big to upload guide covers the other causes.

What are the SlideRoom file size limits?

SlideRoom states one figure: file attachments are limited to 10 MB, in both programs and forms. Media limits are not stated on those pages. Each program sets its own, so read the requirements on your program page.

  • Programs can ask for images, videos, audio files and PDFs, so one application may mix all four.
  • A program can switch on “Accept large files”, which doubles the media upload limit. Whether yours did is visible on its upload screen, not on this page.
  • Programs can accept embedded video from YouTube, Vimeo and SoundCloud when that option is on. An embed has no upload size at all, though you then need the link to work for reviewers.
  • SlideRoom’s own technical requirements page covers browsers and accessibility, not upload sizes. For a limit that is not on screen, ask SlideRoom support.

How do I prepare an art portfolio for college uploads?

Resize each image to the pixel size you want a reviewer to see, set JPG quality around 80 to 85, and check that the biggest file is under the attachment cap. Those quality numbers are starting points, not rules. Raise them for fine detail and lower them for photographs of flat work.

Performance or process videoCompress, MP4, H.264, label High (CRF 24)Duration and size in Finder
Audio sampleCompress, M4A or MP3, bitrate you choosePlayback of the output

Do not use Convert to make a small JPG. Convert to JPG ignores the quality setting and writes a large, high-quality file; use Compress with the output set to JPG instead. For the numbers behind Smol’s image output, see the benchmark: on 24 small film photographs (768 × 512) at default settings, JPEGs came out 69.3% smaller. Phone and camera files will differ, so read your own results.

Video for a portfolio

H.264 in an MP4 is the safe container for a reviewer on any computer. Smol also offers H.265 as the default codec, but when the reviewer’s player is unknown, switch to H.264. Our H.265 vs H.264 comparison explains the trade. Smol has no “make this exactly 10 MB” control for video, so compress, read the output in Finder, and lower the resolution or raise the CRF if it is still too large.

How do I compress a college application upload on a Mac?

Copy the files into one folder, drop the folder into Smol, choose the settings above, compress, and read each output size before uploading. The whole routine takes a few minutes for a typical application.

  1. Make a working folder and keep the originals

Smol writes a copy with a _compressed suffix and does not overwrite originals by default. You may need the full-resolution scan again for a different college.

  2. Drag the folder into Smol

PDFs, images and video can go in together as one mixed batch.

  3. Set the preset or quality for each type

Use Medium for scanned PDFs, JPG at quality 80 to 85 for portfolio images, and MP4 with H.264 for video.

  4. Compress, then sort the folder by size

In Finder, sort by Size and look at the largest file first. That is the one that fails an upload.

  5. Open each result and look at it

Zoom into small print on the transcript and open one image at full size. After you submit you cannot re-upload, so this is the last cheap checkpoint.

  6. Still over the cap? Go one step down

Drop one PDF preset, lower the image maximum dimension, or reduce the video resolution, and repeat.

What do applicants use today, and how do the options compare?

Free and built-in options come first because they work for a one-time job. Each has a catch worth knowing.

If you only have one PDF to shrink, the built-in route is worth trying. Our guide to compressing a PDF without Adobe and the best PDF compressor roundup compare more of them. An application is a different case if you are also sending portfolio images and video, because one app handles all three.

When is Smol the wrong tool for a college application?

Smol shrinks and converts files. It does not fix everything that goes wrong in an application upload. These cases need something else.

  • You are on Windows, a Chromebook or an iPad. Smol is macOS only.
  • You need a searchable transcript. Smol does not run OCR. Compress after a separate OCR step, as our scanned PDF guide describes.
  • You need to black out a Social Security or ID number. Smol does not redact. Use a redaction tool before compressing, and see our PDF metadata guide for what compression leaves behind.
  • You have one small PDF and one deadline tonight. A $29 license is more than a one-off job needs, and a free built-in route may be enough.
  • The portal asks for a form you must edit, sign or merge. Smol does not edit, sign, merge or split PDFs.

Students who share one Mac between siblings can use the Team license, $49 once for three Macs. Solo is $29 for one Mac. There is no student discount.

Frequently asked questions

What is the Common App file size limit?

It depends on the college and upload box. The Common App’s first-year guide states no size and refers you to each college in My Colleges. SlideRoom portfolios limit file attachments to 10 MB. Compress first, then compare the result with the cap on the screen where you upload. After submitting you cannot re-upload.

How do I compress a PDF for a college application?

Drop the PDF into Smol, choose Medium for a scan or Small for a typed document, compress, and check the output size in Finder. Smol writes a copy and keeps the original by default. If it is still over the limit, step down one preset, but read small print at each step.

What are the SlideRoom file size limits?

SlideRoom’s help pages state a 10 MB limit on file attachments, in programs and in forms. Media limits are set by each program, and turning on “Accept large files” doubles that program’s media limit. The base figure is not stated on those pages, so read the limit on your upload screen.

How big should an art portfolio for college be?

The program’s upload screen decides. For files that must stay under a 10 MB attachment cap, resize each image to the pixel size you want reviewers to see, compress to JPG around quality 80 to 85, and check the largest file. Video should be MP4 with H.264, trimmed to the requested length.

My transcript PDF is too large. Will compressing make it unreadable?

Not at Medium in our test, but Tiny can. On a three-page 300 PPI colour scan, a separate OCR tool recovered 100% of words after Medium, 96.8% after Small and 1.42% after Tiny. Start at Medium, zoom into the smallest print in the output, and only go lower if it stays legible.

Is it safe to put my transcript through an online compressor?

An online compressor receives a copy of the file on its own server, and a transcript carries your name, school and ID numbers. Smol compresses on your Mac and uploads nothing, with no account. That does not make an online tool unsafe for a non-sensitive PDF, but it is a real difference for identity documents.
